Introduction

We are seeking a Service Coordinator to join our growing Services team. You will be responsible for all things administration and ensuring the team are well supported. 

This role will be based from our Newcastle location and you will report into the Field Service Manager – East.

Team you belong to

You will join a team of Technicians and Coordinators base around Australia. We are a fast-paced team that requires collaboration and team work. We work closely with internal stakeholders all around Australia as well as our external stakeholders. 

What you’ll do

•    Create and maintain a database for generic and site (contract) specific work procedures, JSA’s, JHA’s and Toolbox Meeting discussion points.
•    Create Work Packs for the scheduled shutdown, to include time sheets, itineraries, Toolbox meeting discussion points, work procedures, labour, etc.
•    Booking of travel and inductions for personnel.
•    Coordinating labour hire and documentation for site attendance.
•    Creating and maintaining a Master Service Schedule of outstanding works, works in progress and future works.
•    Following up on job completion and closure.
•    Collation and submission of monthly reports
•    Issuing purchase order numbers, as required.
•    Matching of invoices, purchase orders and purchase requisitions to jobs.
•    Preparing invoices for completed jobs and monthly invoicing as required / set up per contract.
•    Processing daily paperwork as required for any service specific contract / project.
•    Other general administration duties as required.
Who you are

•    Minimum 2 years’ experience in an Office Administration role.
•    Intermediate to advanced computer literacy skills, MS Office – Word & Excel.
•    Hands on knowledge and experience with accounting packages and in-house systems.
•    Ability to manage and prioritise different demands and tasks.
•    Ability to collate data and compile reports and correspondence.
•    Comfortable to work in an all hands on deck environment.
