Introduction

We are seeking a Service Coordinator to join our growing Services team. You will play a key role in supporting our technicians and ensuring smooth operations through effective administration and coordination. This role is based at Tomago and reports to the Field Service Manager – East.

You will be part of a dynamic team of Technicians and Coordinators located across Australia. We operate in a fast-paced environment that values collaboration and teamwork. You will work closely with internal stakeholders nationwide and external partners to deliver exceptional service.

 

What you’ll do

  • Ensure site inductions, medicals, and certifications are maintained for technicians to meet site compliance requirements.
  • Maintain Customer Portals to ensure site compliance information is accurate and up to date.
  • Book travel arrangements as needed for service technicians.
  • Manage a Salesforce purchase order queue and collaborate with Customer Service to ensure service jobs are created accurately and promptly, with all required details provided.
  • Create FSM work orders for service jobs, schedule technicians prior to commencement of works, and help close work orders promptly upon invoicing.
  • Maintain a Service Register to track outstanding works, works in progress, and future works.
  • Monitor job completion, process invoicing within two weeks of completion, and prepare a detailed invoice summary for each job in accordance with site-specific requirements and supporting documentation.
  • Review and provide feedback on regular reports, including analysis of high and low margin jobs, work-in-progress (WIP) status, and timesheet variances.
  • Issue purchase order numbers as required and accurately match purchase orders and invoices to appropriate service jobs.
  • Process daily paperwork as required for service-specific jobs.
  • Coordinate labour hire and documentation for site attendance.
  • Perform other general administration duties as required.
  • Commitment to Metso safety procedures and KPIs.

 

The Person:

To be successful in this role the person will need to possess the following;

  • Minimum 3 years’ experience in an Office Administration role.
  • Experience working within the Mining Service Industry, with knowledge of mine site requirements, procedures, and policies.
  • Intermediate to advanced computer literacy, including MS Office (Word & Excel).
  • Experience using SAP databases.
  • Strong ability to manage and prioritize tasks to achieve timely results.
  • High attention to detail with the ability to collate data and reconcile costings to finalise invoicing accurately.
  • Ability to work both independently and collaboratively within a team.
  • Customer service mindset with strong communication skills.
