We are seeking a Senior Legal Assistant / Paralegal to join our APA legal team. This is a part-time opportunity (2-3 days a week).

This position can be based from our Perth or Sydney locations and will report to the VP, legal APAC. We are happy to offer some flexible working arrangements, including hybrid options.

Introduction:

The legal team supports the business by leading or contributing to contract negotiations with clients and clarifying interfaces between technical and commercial contract provisions. Non-disclosure and secrecy agreements, as well as involvement of subcontractors and suppliers, and transferring relevant contractual elements to procurement, is a part of the responsibility area of the legal team during the execution phase of each project.

As a Senior Legal Assistant / Paralegal
you will provide high-quality legal, administrative, and corporate support to the Legal Department and relevant business units by managing legal documentation, insurance portfolios, contract deviations, and other operational legal functions. The role is instrumental in maintaining smooth day-to-day legal operations and ensuring compliance with internal governance standards.

 

What you’ll do

  • Maintain and update insurance registers.
  • Coordinate with brokers and internal stakeholders on insurance renewals and claims.
  • Support procurement and business teams with insurance queries and certificate requests.
  • Populate and maintain contract deviation schedules.
  • Review and collate standard mark-ups or changes to template agreements.
  • Liaise with internal stakeholders to ensure correct versioning and filing of contracts
  • Assist with basic procurement documentation including NDAs, standard form agreements and supplier onboarding
  • Provide legal and administrative support for basic property and leasing matters, including reviewing leases, licences and correspondence
  • Track and process legal supplier invoices, including verification of billing against agreed rates.
  • Support budget tracking and cost reporting as requested.
  • Liaise with accounts payable and legal suppliers to resolve discrepancies.
  • Prepare and lodge ASIC filings and maintain company registers.
  • Maintain accurate records of directors, shareholders and other corporate governance documentation.
  • Support the preparation of board and shareholder resolutions.

 

Who you are

  • Minimum 7 years of experience in a legal assistant or paralegal role, preferably in an in-house legal team or law firm with exposure to commercial law, insurance, real estate, and corporate matters.
  • Strong organisational and prioritisation skills.
  • Excellent attention to detail and accuracy.
  • Strong written and verbal communication skills.
  • Ability to manage multiple tasks with competing deadlines.
  • Proficient in MS Office Suite and document management systems.
  • Familiarity with DocuSign, ASIC online portal.
  • Ability to work independently and collaboratively within a team.
