Role Purpose:
The project administrator provides critical support functions to the Project managers and the project team in efficient execution of Delivery projects both in administrative matters and in SAP.
The project administrator will be assigned at an early stage of the project by the manager project execution, ensuring that the guidelines of the Quality Management, Safety, Occupational Health, and Environmental System are followed.
Main Responsibilities:
- Is aware of Metso policy and QHSE standards and makes sure that all work is carried out according to those standards
- Works as a member of the core team for a project and assists the team to successfully execute the project and maintains an ethical, proficient and co-operative approach with internal & external stakeholders.
- Performs other miscellaneous duties as requested, for example replaces and provides continuity support during short-term absence of the Project Manager by ensuring follow-ups, coordination, and reporting.
- Ensure compliance with global processes, tools, and templates, Follow-up on intercompany prices (transfer pricing) and ensure all project specific documentation meets Metso standards and customer requirements.
- Track deliverables and ensure documentation is submitted and approved on schedule.
- Manage project document management systems (e.g., SharePoint, EDMS, Aconex)
- Be responsible for small and standard project (< 3 MEUR) set-up and maintenance in ERP.
- Creation of project in SAP and creating and maintaining sales orders, invoicing milestones, order confirmations, and invoices.
- Follow-up customer payments and overdues as well as involvement in dunning process.
- Maintain accurate revenue, cost, margin, and cash flow follow-up and reporting.
- Contribute to month-end closing and forecasting processes and provides detailed deviation analyses of financial figures - actuals vs. budget vs. forecast.
- Supports Project Managers and Finance in financial tracking, also supports in fulfilling contractual obligations with the client and defining the creation of the work team.
- Ensure the proper transfer of information with the sales area and participates in the implementation of the work plan.
- Be responsible for the packages assigned within a project and for smaller projects that may be assigned to them.
To be successful in this role, you should meet the following requirements:
- Bachelor’s Degree in Mechanical Engineering or similar careers related to Project Administration / Project Management.
- Minimun 5 years of work experience performing similar functions of the role.
- Experience and Knowledge in Contracts & project management, commercial terms, scheduling, cost control or document control.
- SAP working experience, ERP transactions & modules related to e.g. project structure, invoicing and reporting.
- Good understanding of project financials as well as key financial business performance metrics.
- Understanding of compliance issues and policies, INCOTERMS, goods movement.
- Advanced English proficiency (including technical terminology)
- Strong computer skills, including Microsoft Office products.
- Excellent communication skills (both written and oral) and effective interpersonal skills are required.
- Must be capable of effectively and accurately working on several projects at one time.
