We are now looking for a motivated Customer Service Coordinator to join our Customer Service team and to support the execution of invoicing administration, coordination with internal stakeholders, and ensuring smooth end to end documentation processes. This role will be based in Jakarta.
WHAT YOU'LL DO :
- Prepare, validate, and submit invoices together with all required supporting documentation (including VAT invoices, signed Delivery Notes, and customer Purchase Orders), covering submissions for both Repair and Field Service activities.
- Maintain clear, proactive communication with customers and internal stakeholders to monitor invoice and payment progress, ensuring timely follow ups and effective resolution of discrepancies.
- Provide backup support for SAP Ariba accounts across key Metso customers, enabling smooth procurement workflows and accurate documentation management.
- Ensure all quality assurance and quality control documentation is maintained in alignment with Metso’s supply quality standards, procedures, and compliance requirements.
- Contribute actively to weekly team meetings by sharing operational updates, identifying improvement opportunities, and supporting ongoing initiatives aimed at enhancing customer experience and operational efficiency.
WHO YOU ARE:
Essential
- Minimum of two years’ experience in a comparable role, with a demonstrated foundation in administrative and customer-service-related processes.
- Proficiency in Microsoft Excel and Word, ensuring accuracy and consistency in documentation and reporting.
- Practical experience working with SAP, supported by familiarity with ERP-based administrative workflows.
- Experience with Salesforce, Ariba, Power BI, and Microsoft Teams, is highly advantageous.
- Demonstrated capability to collaborate effectively with cross-functional teams and external stakeholders.
- Strong understanding of quotation processes, order fulfillment workflows, and customer service related administrative procedures, contributing to reliable and timely service delivery.
Desireable
- Strong customer service orientation with ability to manage customer inquiries professionally and efficiently.
- High level of accuracy and proficiency using ERP systems (SAP), PDM platforms, CRM tools such as Salesforce, and Ariba procurement systems.
- Excellent written and verbal communication skills in English, supported by fluency in the local language.
- Ability to self-manage, prioritize and work independently while supporting team objectives
