JOB TITLE: OFFICE ADMINISTRATOR - BULK MATERIAL HANDLING, CAPE TOWN
We are looking for a dynamic and detail-oriented Office Administrator to become an integral part of our Cape Town team. In this role, you will be the backbone of our daily operations - ensuring the smooth running of the office through a wide range of administrative responsibilities. From managing reception duties and coordinating office activities to supporting the overall efficiency of our workplace, you’ll play a key role in creating a professional and welcoming environment for both staff and visitors.
In this position, you will report to the Director - Bulk Material Handling.
This position is located in Cape Town
TEAM YOU BELONG TO
You will join the Bulk Material Handling team that strives to effectively deliver a seamless experience, which delivers a “technical solution” that meets the customers' needs. You will work closely with internal and external stakeholders, such as Metso colleagues, Metso visitors and Metso management.
WHAT YOU’LL DO
You are responsible for the following per your allocated area of responsibility:
- Answering of Switchboard - Answering of all calls and assisting callers
- Welcoming and assisting visitors - Visitors register to be completed and visitor access tag to be issued
- Stationery Orders - Ordering and issuing of all office stationery
- Grocery Orders - Ordering and issuing of all office groceries monthly
- DHL Courier Services - Assisting staff with arranging for packages to be sent via DHL
- Receiving of packages at Reception for staff - Staff are required to collect their own packages from reception if they are at the office. In the event that the employee is not at the office the Receptionist can sign for the package and the employee can collect from them. The employee must sign the register to confirm receipt
- Functions/Meetings - Booking of Boardrooms, arranging meals and drinks for functions/meetings held at the office upon request
- Office Administration - Coordination with Cleaners to ensure all cleaning is done daily and assistance with managing staff. Ensuring that all office-related invoices are received, checked, processed and sent for payment monthly.
- Assisting with office related HSE matters. Manage and coordinate all office related issues and maintenance requests.
- Liaising with suppliers to ensure office related services are rendered as and when scheduled. Office Inspections to be done monthly.
- Other ad-hoc tasks as and when required
WHO YOU ARE
- Must have Matric (Grade 12)
- Must have 3-5 Administrative Experience
- Proficiency with Computers and Office Equipment
