Introduction to the Role

The Training Support Specialist provides essential coordination and logistical support for technical training programs across Field Services, Repairs, and Customer teams.

 

This role ensures training events run smoothly, materials are prepared and distributed, and systems are updated to reflect learning progress.

 

Working closely with the Market Area (MA) Training Manager, this role supports both internal and external training delivery and contributes to the success of certification and competence development initiatives.

 

Main Responsibilities

 

Training & Event Coordination

  • Organize catering and prepare training rooms.
  • Print/bind materials and manage shared calendar.
  • Notify Bayswater team of events and manage training packs.
  • Order supplies via COS dashboard.

 

Certification Support

  • Send recognition emails and distribute certification packs.
  • Update tracking spreadsheets and communicate progress.
  • Register training in LearningPoint and update matrixes.
  • Support onboarding, visa letters, and travel documentation.
  • Upload Job Passports and troubleshoot technician queries.
  • Maintain Certified Channel and assist global trainers.

 

Customer Training Logistics

  • Save materials to USBs and support trainers.
  • Coordinate trainer mobilization and liaise with SAMs/customers.
  • Assist with SAP quotes, jobs, invoices, and WIP reviews.
  • Review feedback portal and support Aggregates Training.

 

Training Tools & Resources

  • Manage VR headsets and training aids.
  • Track resources and support Train-the-Trainer initiatives.

 

Qualifications & Skills

 

Essential

  • Demonstrated Organisational skills – Ability to coordinate events, manage calendars, and handle logistics.
  • Attention to detail – Accurate preparation of training materials, certificates, and documentation.
  • Administrative proficiency – Experience with data entry, spreadsheets, and tracking systems.
  • Communication skills – Professional email etiquette and stakeholder updates.
  • Time management – Ability to prioritize multiple tasks and meet deadlines.
  • Passion - for supporting learning and development
  • Technical literacy – Comfortable using platforms like LearningPoint, SAP, Salesforce, and shared drives.
  • Problem-solving – Ability to troubleshoot queries and resolve issues promptly.

 

Desirable

  • Experience in training coordination – Familiarity with training events and certification processes.
  • Experience with VR or digital training tools – Managing headsets and training aids.
  • Customer service orientation – Liaising with clients and internal teams effectively.
  • Experience in procurement systems – Ordering supplies via dashboards (e.g., COS).
  • Exposure to onboarding processes – Supporting new starters and competence mapping.
  • Familiarity with reporting and feedback tools – Reviewing dashboards and feedback portals.
